A centralized transaction, receivables, payment and customer operations system built around the way Perfect Jewelry Inc. does business.

Executive, Finance, Sales & Operations Leadership

“Connect the business around your existing systems — don’t force the business to replace what already works.”

Positioning

We are not proposing to replace the inventory system.

AnyPlus Pro proposes to build the operational layer that connects Perfect Jewelry Inc.'s customers, quotations, purchase orders, orders, invoices, payments, receivables, credit arrangements, reconciliation, communications and account management — while PJI's existing inventory system remains the source of truth for inventory.

Layer 01

Systems of Record

PJI's existing inventory system, bank accounts and payment processor accounts remain owned, controlled and authoritative. Nothing is displaced.

Layer 02 — Proposed

AnyPlus Pro Operational Layer

The commercial and financial control center: accounts, quotations, orders, invoices, receivables, payments, allocation, reconciliation, credit and audit.

Layer 03

People & Relationships

Executives, finance, sales managers, sales agents and account managers keep their existing commercial judgement — supported by complete, current information.

Our core philosophy: connect the business around the systems that already work, rather than asking Perfect Jewelry Inc. to rebuild what it has already invested in.

Executive Summary

Perfect Jewelry Inc. operates in a relationship-driven wholesale environment.

Transactions are negotiated, credit-based and often concluded offline. A retail checkout model cannot describe how this business actually earns and collects revenue.

AnyPlus Pro recognises that a single PJI transaction may involve long-standing wholesale customers, existing credit arrangements and credit terms, sales agents and account managers, manual quotations, offline orders and customer purchase orders, bank deposits and post-dated checks, consignment, special and negotiated diamond pricing, customer-specific pricing and manually approved discounts — often with customers who will never use an online checkout.

Because of this, a traditional e-commerce checkout system is not sufficient. The platform we propose is designed around the full commercial chain, not around a shopping cart. Online checkout and payment links remain available for smaller buyers and customers who prefer digital payment, but this is deliberately not the primary workflow for PJI's major wholesale accounts.

Primary workflow

Negotiated, credit-based wholesale transactions with allocation and reconciliation.

Secondary workflow

Payment links for smaller buyers and customers who prefer digital settlement.

The Transaction Chain

  1. 01Customer Account
  2. 02Quotation / Purchase Order / Direct Order
  3. 03Order
  4. 04Invoice / Receivable
  5. 05Payment
  6. 06Payment Allocation
  7. 07Reconciliation
  8. 08Customer Balance / Credit
  9. 09Reporting / Fulfillment

The Business Problem

What naturally happens as a wholesale business grows.

None of the following reflects a fault in how Perfect Jewelry Inc. operates today. These are the predictable pressures that appear when high-value, credit-based transactions are coordinated across multiple systems, channels and manual processes.

Fragmentation

Information lives in several places

  • Payment information spread across different channels
  • Reliance on spreadsheets, email, messages and manual processes
  • Lack of a centralized transaction history
  • Difficulty seeing the complete financial relationship with a customer

Verification & Matching

Every peso must be confirmed by a person

  • Bank deposits requiring manual verification
  • Digital payments requiring gateway monitoring
  • One payment applied against multiple invoices
  • Unallocated payments waiting to be assigned
  • Difficulty reconciling payment information with invoices
  • Risk of duplicate or incorrect financial records

Commercial Complexity

No two customers are governed by the same terms

  • Different credit arrangements per customer
  • Different negotiated pricing
  • Different payment terms
  • Multiple open invoices per customer
  • Post-dated check tracking
  • Overdue receivables and manual follow-ups
  • Difficulty determining which transactions need attention first
Operational realityConsequence when uncentralizedWhere the platform resolves it
Bank deposit received against an open invoiceConfirmed through screenshots and messages; recorded lateManual Payment Verification (Module 07)
₱2M payment covering three invoicesManual splitting; balances drift between recordsPayment Allocation (Module 09)
Post-dated check due in eleven daysTracked on a personal calendar or spreadsheetCheck & PDC Management (Module 08)
New order from a customer near their credit ceilingExposure calculated manually, often after commitmentCredit Management (Module 12)
Agent grants a discount beyond their authorityApproval undocumented; hard to reconstruct laterDiscount Approvals (Module 14)

Operations Diagnostic

Where does the work actually get difficult?

Before proposing technology, AnyPlus Pro asks Perfect Jewelry Inc. to identify where effort is currently absorbed. These are not deficiencies — they are the natural consequences of a growing, relationship-driven wholesale business.

The AnyPlus Pro Solution

Core System Architecture

One spine. Two payment pathways. One verified truth.

Every transaction follows the same operational spine, regardless of how the customer chooses to pay. Digital settlement is confirmed by the gateway. Manual settlement is confirmed by PJI's accounting team — never automatically.

Transaction Spine

  1. 01Customer
  2. 02Customer Account

Settlement status is updated from verified gateway callbacks, and the invoice balance follows automatically.

Pathway B — Manual Payment

Accounting verification required

The platform will never automatically mark a direct bank deposit as paid. Only authorized accounting personnel can confirm a manual payment as verified.

Alongside the spine

  • Existing inventory system referenced, never duplicated
  • Exception Center for anything that requires judgement
  • Complete audit trail on every financial record
  • Role-based authority and approval workflows

How the System Works

A map of the platform, end to end

Three layers, one flow. Your people work at the top, your systems of record stay untouched at the bottom, and AnyPlus Pro is the operational layer in between that makes the whole chain visible and accountable.

Platform Modules

What AnyPlus Pro will build, module by module.

The platform is presented as a set of connected operational modules. Each one exists because a specific part of Perfect Jewelry Inc.'s wholesale process requires it.

01

Commercial

Customer & Account Management

Each Perfect Jewelry customer is held as a commercial account profile, not a contact record. It carries the full structure of the relationship — who owns it, how it is priced, how it pays and what it owes.

  • Company information
  • Branches
  • Contacts
  • Authorized representatives
  • Account manager
  • Sales agent
  • Customer type
  • Customer status
  • Credit limit
  • Payment terms
  • Special pricing
  • Discount rules
  • Payment preferences
  • Transaction history
  • Outstanding balances
  • Documents
  • Communication history

This is materially more than a CRM contact. It is the commercial and financial identity of the account.

02

Commercial

Quotation Management

Quotations are where a wholesale transaction is actually decided. AnyPlus Pro will allow authorized users to raise, approve and track quotations with the full commercial context attached.

  • Customer
  • Sales agent
  • Account manager
  • Item code
  • SKU
  • Inventory reference
  • Customer PO reference
  • Description
  • Quantity
  • Price
  • Negotiated price
  • Discount
  • Payment terms
  • Expiration date
  • Notes
  • Approval status

The platform does not need to duplicate PJI's entire inventory database. Items may be referenced by item code, SKU, inventory reference, order reference, customer PO number or another approved transaction reference — allowing integration without unnecessary duplication.

03

Commercial

Order Management

Not every Perfect Jewelry transaction begins with a quotation. The platform supports both conversion from an approved quotation and direct order entry for established accounts.

  • Customer
  • Customer PO
  • Sales agent
  • Account manager
  • Order number
  • Item references
  • Amount
  • Currency
  • Payment terms
  • Credit arrangement
  • Status
  • Related invoice
  • Related payments
  1. 01Quotation → Order
  2. 02Direct Order (no prior quotation)
13

Commercial

Customer-Specific Pricing

The platform accommodates PJI's negotiated pricing model rather than assuming a single published price list.

  • Standard pricing
  • Customer-specific pricing
  • Negotiated diamond pricing
  • Special wholesale pricing
  • Temporary pricing
  • Customer-specific discounts

Every special price carries customer, reference or item, price, validity period, approver, creation date, modification date and full audit history.

14

Commercial

Discount Approvals

Authority becomes explicit. Discounts beyond an agent's threshold route to the correct approver and are permanently recorded.

  1. 01Sales agent requests a 15% discount
  2. 02System identifies the request exceeds the agent's authority
  3. 03Manager approval required
  4. 04Manager approves or rejects
  5. 05Approval recorded against the transaction
  6. 06Approved quotation generated

This reduces undocumented approvals and establishes accountability without slowing the commercial conversation.

15

Commercial

Sales & Customer Pipelines

A wholesale pipeline built around existing customers and sales agents — not marketing funnels or landing pages, which are explicitly excluded from scope.

  1. 01Lead
  2. 02Qualified
  3. 03Quotation
  4. 04Negotiation
  5. 05PO Received
  6. 06Order
  7. 07Invoice
  8. 08Payment
  9. 09Completed
04

Financial

Invoice & Receivables Management

Invoices are held separately from payments, so that a balance is always a calculated fact rather than a manual assumption. The platform maintains a complete customer ledger.

  • Full invoices
  • Partial payments
  • Multiple payments against one invoice
  • Multiple invoices per customer
  • Credit notes
  • Adjustments
  • Outstanding balances
  • Due dates
  • Overdue invoices
  • Customer statements

Worked example — customer ledger

  • Invoice INV-2041 issued — ₱2,000,000.00
  • Payment received (bank transfer, verified) — ₱1,000,000.00
  • Remaining balance — ₱1,000,000.00
  • Payment received (post-dated check, cleared) — ₱600,000.00
  • Remaining balance — ₱400,000.00
05

Financial

Payment Management

AnyPlus Pro will not hold, receive or control Perfect Jewelry Inc.'s money. PJI retains ownership of its bank accounts, Xendit accounts, PayMongo accounts, payment processor accounts and settlement accounts. AnyPlus Pro acts as the technology and monitoring layer.

  1. 01Customer → Payment Gateway → Perfect Jewelry
  2. 02Customer → Bank → Perfect Jewelry → Accounting verification in platform

Money flows directly from the customer through the selected provider into PJI's designated merchant or bank account. AnyPlus Pro does not take custody of PJI funds.

06

Financial

Digital Payment Integration

Initial gateway integrations are planned for Xendit and PayMongo, generating payment links connected to Perfect Jewelry Inc.'s own merchant accounts.

  1. 01Invoice
  2. 02Generate payment link
  3. 03Customer pays
  4. 04Payment gateway processes
  5. 05Gateway webhook
  6. 06AnyPlus Pro records payment
  7. 07Payment status updated
  8. 08Invoice balance updated
  9. 09Customer notification

The architecture will be prepared for additional gateways, including international providers, as a future extensibility capability — subject to merchant eligibility and applicable regulatory, banking, payment processor and tax requirements. No integration is represented as already available.

07

Financial

Manual Payment Verification

Deliberately separated from digital processing. Bank deposits, bank transfers, checks and PDCs are recorded as Pending Verification and reviewed by accounting.

  • Verify the payment
  • Reject the payment
  • Request additional information
  • Allocate the payment
  • Mark as reconciled

Only authorized accounting personnel can confirm a manual bank payment as verified. No manual deposit is ever auto-marked as paid.

08

Financial

Check & PDC Management

A dedicated capability for post-dated checks, including a PDC calendar and dashboard so upcoming instruments are visible well before their due date.

  • Customer
  • Check number
  • Bank
  • Amount
  • Invoice
  • Issue date
  • Due date
  • Deposit date
  • Status
  • Notes
  • Attachments

Statuses: Recorded · Pending · Deposited · Cleared · Bounced · Cancelled.

09

Financial

Payment Allocation

A wholesale customer rarely pays one invoice at a time. The platform supports one payment across multiple invoices, and multiple payments against one invoice.

Worked example — one payment, three invoices

  • Payment received — ₱2,000,000.00
  • Allocated to Invoice A — ₱1,000,000.00
  • Allocated to Invoice B — ₱500,000.00
  • Allocated to Invoice C — ₱500,000.00
  • Unallocated remainder — ₱0.00

Manual allocation passes through an approval mechanism, and a dedicated Unallocated Payments area holds every payment received but not yet assigned to an invoice.

10

Financial

Reconciliation

The platform distinguishes four states that are frequently treated as one: the payment transaction, the payment settlement, the payment reconciliation and the invoice allocation. Digital payments update from gateway webhooks; manual deposits remain subject to accounting verification.

  • Matched payments
  • Unmatched payments
  • Unallocated payments
  • Amount mismatches
  • Duplicate warnings
  • Pending settlements
  • Manual verification queue
18

Financial

Small Buyer Payment Experience

For smaller buyers and individuals, a simple path exists — deliberately positioned as a secondary capability, not the identity of the platform.

  1. 01Invoice
  2. 02Payment link
  3. 03Xendit / PayMongo
  4. 04Payment confirmation

AnyPlus Pro is not proposing a retail storefront.

11

Control

Exception Center

Automation handles normal transactions. People handle exceptions. The Exception Center exists so that PJI's finance team is not required to review every transaction in order to find the few that matter.

Action required

  • 12 bank deposits awaiting verification
  • ₱420,000 unallocated payments
  • 3 payment mismatches
  • 2 failed digital payments
  • 8 PDCs due this week
  • 17 overdue invoices
  • 3 customers exceeding credit limits
  • 2 discount approvals
12

Control

Credit Management

Credit exposure is calculated continuously, so that an order can be assessed before it is committed rather than after.

  • Credit limits
  • Payment terms
  • Current outstanding
  • Pending orders
  • Credit utilization
  • Available credit
  • Overdue amounts
  • Customer exposure

Worked example — credit position

  • Credit limit — ₱10,000,000
  • Outstanding — ₱6,200,000
  • Pending orders — ₱2,100,000
  • Available credit — ₱1,700,000
  • New order exceeds available credit → CREDIT REVIEW REQUIRED

Authorized users may approve, reject, approve with conditions, or temporarily increase the credit limit. Every approval is logged.

22

Control

Security & Financial Integrity

Financial records are treated differently from ordinary CRM data. If a financial transaction changes, the platform preserves what happened, who changed it, when it changed and why it changed.

  • Role-based access
  • Granular permissions
  • Audit logs
  • Immutable financial records
  • No silent deletion of financial transactions
  • Reversal and adjustment instead of deletion
  • Approval workflows
  • Duplicate payment protection
  • Idempotent payment webhook processing
  • Secure authentication
  • Encryption
  • Backup and disaster recovery
  • Transaction integrity

Technical administrators will not automatically hold authority to modify financial records. System access and financial authority are separated by design.

23

Control

Two-Person Approval

Sensitive activities follow a maker-checker workflow: one authorized user initiates, another authorized user approves, and all activity is logged.

  • Credit limit increase
  • Large discount
  • Refund
  • Manual payment adjustment
  • Payment reversal
  • Write-off
  • Other high-value financial actions
20

Control

Reporting & Management Dashboard

An executive view that answers the questions leadership actually asks, without assembling files.

  • Sales, orders, quotation value and invoice value
  • Customer purchases
  • Receivables: outstanding, current, overdue, aging
  • Payments: successful, pending, failed
  • Payments: unallocated, unverified, reconciled
  • Credit: total exposure and utilization
  • Customers exceeding limits
  • PDC due today, this week, this month, bounced
  • Sales agent value and customer portfolio
  • Agent outstanding accounts and collection performance

  • Overdue — ₱500,000 · PDC due — ₱2,100,000
16

Engagement

CRM, Email, Campaigns & Forms

Lightweight relationship tooling that supports existing wholesale customers. Landing page builders and marketing funnels are excluded from the initial scope.

  • Invoice notifications
  • Payment confirmations
  • Payment reminders
  • Overdue notices
  • Account statements
  • Product and collection announcements
  • Existing customer campaigns
  • Customer segmentation
  • New customer application
  • Credit application
  • Customer information update
  • Payment and bank deposit submission
  • PO submission
  • Special pricing request
  • Credit limit request
  • Payment dispute
17

Engagement

Customer Portal

Prepared as part of the architecture, but not mandatory at launch. Perfect Jewelry Inc. decides which customers receive access — a suggested qualification is customers with approximately ₱2.5M+ in transaction volume or strategic accounts, with the threshold fully configurable by PJI.

  • Orders
  • Invoices
  • Payments
  • Outstanding balances
  • Statements
  • PDCs
  • Payment history
  • Documents
  • Account information

Portal users cannot modify financial records directly. They may submit requests and documents for review by PJI.

19

Foundation

Existing Inventory System Integration

AnyPlus Pro will not replace Perfect Jewelry Inc.'s existing inventory system. It remains the source of truth for inventory, stock, SKU, item availability, warehouse and location, and inventory movement.

  • Item code
  • SKU
  • Inventory reference
  • Order number
  • Customer PO
  • API integration where available

Referencing rather than duplicating reduces reconciliation risk and protects PJI's existing investment.

24

Foundation

Data Migration

AnyPlus Pro can support a controlled migration of historical data where practical — customers, existing balances, invoices, payment history, orders and customer references.

The primary focus of the initial implementation is a reliable system for all new transactions going forward. Historical migration is performed in phases, after data quality and source-system compatibility have been assessed.

25

Foundation

Scalability

The platform is architected from the beginning for growth, using a scalable architecture and database design rather than unnecessary distributed complexity in the initial version.

  • Hundreds of thousands of customers
  • Hundreds of thousands to millions of transactions
  • Large payment histories
  • High-volume invoice records
  • Extensive audit logs
  • Large document volumes

Money & Security Model

Perfect Jewelry Inc. retains control of its money.

AnyPlus Pro sits beside the transaction as the technology and monitoring layer. We record, monitor, reconcile and communicate transaction information — we do not take custody of PJI funds.

Ownership

PJI maintains control over its bank accounts, payment processor accounts and settlement accounts at all times.

Custody

AnyPlus Pro does not hold, receive or control PJI's money. Funds move directly from the customer to PJI's designated accounts.

Regulatory

Final implementation is subject to applicable banking, payment processor, tax, data privacy and regulatory requirements.

Competitive Positioning

Why AnyPlus Pro?

Generic payment platforms and CRM systems are built around a retail sequence. Perfect Jewelry Inc. does not operate on a retail sequence.

Generic platforms are designed around

Lead → Checkout → Payment → CRM

This assumes a buyer who self-serves, pays immediately and holds no credit relationship — an assumption that does not describe PJI's major wholesale accounts.

AnyPlus Pro is designed around

Customer → Quote → PO → Order → Invoice → Credit → Payment → Allocation → Reconciliation → Collection

We do not force PJI's wholesale business into a retail e-commerce model. We build around the way Perfect Jewelry already operates and improve the infrastructure around it.

Implementation Philosophy

Understand first. Connect second. Automate third.

AnyPlus Pro will not attempt to replace every existing Perfect Jewelry system. We work in a deliberate order, and we expand only where there is measurable business value.

01Understand the current workflow
02Identify systems of record
03Connect systems
04Automate repetitive processes
05Keep humans in control of exceptions
06Maintain complete financial auditability
07Expand only where there is measurable business value

Discovery Before Development

A structured discovery phase precedes build

The purpose is to ensure the platform is designed around Perfect Jewelry Inc.'s real workflow, rather than requiring PJI to change its business processes unnecessarily.

  • Finance workflow mapping
  • Sales workflow mapping
  • Customer and account workflow
  • Credit workflow
  • Payment workflow
  • Bank deposit verification process
  • PDC process
  • Existing inventory system assessment
  • Existing data structure
  • Current customer and transaction volume
  • Existing integrations
  • User roles
  • Approval hierarchy

Expected Business Outcomes

What Perfect Jewelry Inc. should expect to gain.

AnyPlus Pro does not promise specific financial results. We commit to operational outcomes that follow directly from centralization, automation and auditability.

Greater visibility

One centralized view of customer transactions, balances and exposure.

Reduced manual work

Automation of repetitive payment recording and notification processes.

Faster reconciliation

Identify exceptions instead of manually checking every transaction.

Better collections

Improved visibility over overdue accounts and upcoming payments.

Better credit control

Understand customer exposure before approving additional transactions.

Stronger accountability

Every important action is recorded, attributed and reviewable.

Better customer experience

Invoices, payment links and transaction information delivered digitally.

Scalability

Infrastructure that can support Perfect Jewelry Inc.'s continued growth.

AnyPlus Pro

We are not proposing to change the way Perfect Jewelry does business. We are proposing to build the technology infrastructure that allows the business to operate that way at a much greater scale.

Perfect Jewelry Inc. has already built the relationships, the customers, the supplier networks, the inventory systems, the sales processes and the commercial expertise. AnyPlus Pro's role is to build the technology layer that connects those moving parts — quietly, reliably and with complete financial accountability.

From Every Quotation to Every Payment, One Connected System.
